The Partners Grid Enterprises ("we", "our", "us") is committed to protecting the privacy of all users of Partners Grid CRM ("the System"). This Privacy Policy explains what information we collect, how we use it, how it is stored, and your rights in relation to that information.

By using the System, you agree to the collection and use of information in accordance with this Policy. This Policy applies to all users including organization administrators, sales partners, and any other team members accessing the System.

2. Information We Collect

Account Information: When you register or are added as a user, we collect your name, email address, role, and organization details.

Login & Activity Data: We record login events including IP address, approximate location (city, region, country), browser type, and device type to support security monitoring and audit trails. This applies to sales partners and team members — not to organization administrators or the platform owner.

Lead & Business Data: Any leads, client information, deal values, form submissions, status history, and remarks entered into the System are stored on our servers. This data belongs to the organization that entered it.

Usage Data: We may collect information about how the System is used, such as features accessed and frequency of use, to improve the platform.

3. How We Use Your Information

• To provide, operate, and maintain the CRM System
• To authenticate users and maintain account security
• To display login history and activity logs to organization administrators
• To send service-related communications (account alerts, system notices)
• To improve platform features and user experience
• To comply with legal obligations and respond to lawful requests

4. Location Data

When a sales partner or team member logs in, we record their approximate location based on IP address (city, region, country, and ISP/network provider). This is done using a third-party IP geolocation service (ip-api.com). This information is made available to the organization's administrator for security and audit purposes.

This is IP-based geolocation — it is not GPS tracking and does not require any browser permission. Accuracy is typically at the city level. Organization administrators and the platform owner are excluded from this tracking.

5. Data Ownership & Separation

Each organization's data is logically separated. One organization cannot access another's data. The Partners Grid Enterprises acts as a data processor on behalf of each organization (the data controller) for the business data they enter into the System.

6. Data Sharing

We do not sell or rent personal data to third parties. We may share information only in the following limited circumstances:

• Service Providers: Third-party services used to operate the platform (e.g., hosting provider, IP geolocation service) under strict confidentiality obligations.
• Legal Requirements: When required to comply with applicable law, court orders, or government requests.
• Business Transfer: In the event of a merger, acquisition, or sale of assets, user data may be transferred with appropriate notice.

7. Data Security

We implement appropriate technical and organizational measures to protect your data against unauthorized access, alteration, disclosure, or destruction. These include:

• Encrypted password storage using industry-standard bcrypt hashing
• JWT token-based authentication with expiry controls
• HTTPS-only access to the platform
• Role-based access control — users only see data relevant to their role
• Login audit logging for security monitoring

While we strive to protect your data, no method of transmission over the internet is 100% secure. We cannot guarantee absolute security.

8. Data Retention

We retain your data for as long as your organization's account is active, or as needed to provide the Service. Upon termination of an account, the organization may request a data export within 30 days. After this period, data may be permanently deleted from our servers.

Login logs are retained for a maximum of 12 months from the date of recording.

9. Cookies

The System uses browser local storage (not traditional cookies) to maintain your login session via a JWT token. This token is stored on your device and is used solely to authenticate your session. No tracking or advertising cookies are used.

10. Children's Privacy

Partners Grid CRM is a business tool intended for use by adults in a professional capacity. We do not knowingly collect personal information from individuals under the age of 18. If you believe a minor's information has been submitted, please contact us immediately.

11. Your Rights

As a user, you have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate data
• Request deletion of your account and associated personal data
• Raise concerns about how your data is being processed

12. Third-Party Services

The System uses the following third-party service for location lookup:

• ip-api.com — Used to determine approximate city/region/country from login IP addresses. Their privacy policy is available at ip-api.com.

The System is hosted on BigRock shared hosting infrastructure. Data is stored on servers within their network.

13. Changes to This Policy

We may update this Privacy Policy from time to time. Any material changes will be communicated to registered users through the System. Continued use of the System after such notice constitutes your acceptance of the updated Policy.

14. Governing Law

This Privacy Policy is governed by the laws of India. Any disputes arising in connection with this Policy shall be subject to the exclusive jurisdiction of the courts in Pune, Maharashtra, India.
